Submitting the member base
The NIKKI Process starts with the delivery of the membership base. Here, NIKKI offers the associations two options:
- Connection with Sportlink: The association correctly introduces members into the Sportlink System in. Then, it's just a matter of pressing a button to retrieve the outstanding items and import them into the NIKKI system.
- Excel list: NIKKI offers a ready-to-use template, making it easier for the association to enter its members' information and forward it to NIKKI.

Day 1: E-mail with payment options
After reading the members into the system, they receive an email with three different payment options:
- Full payment: Members can pay the contribution amount at once without additional costs.
- Pay in installments: Members can choose to pay in installments, spread over 8 or 10 installments, depending on the association's choice. This involves a service fee of 10% of the contribution amount, with a maximum of 19 euros.
- Reimbursement via third parties: Members can, if eligible, make use of compensation through third parties, such as the Youth Sports & Culture Fund. This must be reported to NIKKI yourself, as stated in the email.
Day 5: First payment
On day 5, members must pay the contribution amount or, if they choose to pay in instalments, pay the first instalment of their contribution. This is part of the total amount. If payment is not received in time, members will receive a reminder email on day 10 stating that payment of the instalment is still outstanding.
If payment is still not received after the reminder email on day 10, the relevant members will be contacted by phone on day 26 to discuss the payment process and resolve any issues.
During the term, members will receive a reminder email five days before and five days after the due date of each term stating that the payment period is about to expire or has expired.
On the 20th of each month, members receive an email warning about a possible blocking of their membership due to a backlog of payments. It emphasizes that they are the
overdue payment must be made in order to continue participating in activities.
Members who have not paid three instalments (3 months) will receive a pre-collection notification on the 20th of each month. If payment is still not received after 15 days, the association has the choice and authority to transfer the relevant members to Collect Masters.
Five days after sending the pre-collection reports, the club receives an email with an overview of the members who (if the association has chosen) have been transferred to CollectMasters. This helps to prevent contacting members who have already paid after receiving the report.
Payments to the association
The process of making financial payments to the associations takes place on a weekly basis. Due to the weekly schedule of financial payments, payments are processed regularly and on time, reducing the risk of delays or errors in financial transactions.
At the very first contribution payment the NIKKI Fee will be deducted. This means that part of the amount paid by members is used to cover NIKKI's costs. This transparent approach ensures that all parties involved have a clear insight into the cost structure, so that the financial processing between the associations and NIKKI is smooth and transparent.

Every quarter, the associations receive a detailed overview via e-mail, in which they can view the full state of affairs of their association. This provides insight into financial performance and any details that need attention.
